A coffee pass is a prepaid bundle of cups — “30 cups, valid 30 days” — that a customer buys once and draws down over several visits.
Payment happens at your counter, not through petakopi.my. The customer pays you in cash, by transfer, or however you normally take money; you then issue the pass in the app. Nothing is charged online.

How it works

  1. You create a pass once — the template that says how many cups and how long it stays valid.
  2. A customer pays at the counter, and you issue them a pass by scanning their QR.
  3. On each visit you scan their pass and deduct the cups they used.
Steps 1 and 2 are separate on purpose. One pass can be issued to as many customers as you like, over and over.

Creating a pass

Open Coffee Passes

In the app, tap Home, then Manage, pick your shop, and tap Coffee Passes.

Tap New

Fill in the details:
  • Name — e.g. “Monthly 30 Cups”
  • Cups — How many cups the pass includes (1–100)
  • Valid for — How many days the pass stays usable after it is issued
  • Terms & conditions — What the pass covers and any rules, e.g. “Limited to Americano”
  • Card appearance — Pick a colour and brightness for the pass card the customer sees
  • Active — Toggle on to make the pass issuable

Save

The pass now appears in your list and can be issued at the counter.
You can run several passes at once — a 10-cup starter and a 50-cup regular, for example.

Take payment at the counter

Cash, transfer, or whatever you normally accept. petakopi.my does not handle the money.

Ask the customer to open My QR

They tap their profile card on the app Home screen to show their personal QR.

Scan it

On your Home screen, tap Scan and point the camera at their QR.

Pick the pass

Your active passes appear. Tap the one they paid for, and the pass is issued immediately.
The customer sees a confirmation on their own screen within a few seconds. Their QR expires after ten minutes, so if the scan fails, ask them to reopen it. Issued the wrong one? Tap Cancel on the confirmation screen straight after issuing. You can also cancel later from the pass detail.

Customer shows their pass

They open their passes in the app and tap the card to flip it and reveal the QR.

Scan and deduct

Tap Scan on your Home screen, scan their pass QR, then choose how many cups to deduct (1–5) and confirm.
Their remaining count updates while the QR is still on screen, so both of you can see it drop. Every deduction is recorded with who performed it — tap any issued pass to see its full history.

Pass statuses

Open a pass and tap it to see everyone you have issued it to, each with a status: Expiry is applied automatically — a pass flips to expired once its validity period is over, without you doing anything.

Editing a pass

Most details stay editable after customers hold passes, but one does not: To change the number of cups, create a new pass and switch off the old one. A pass that has been issued to anyone cannot be deleted, so switching it off is how you retire it.

Cancelling and reactivating

Cancel an issued pass from its detail screen — useful for a mis-scan, a refund, or a customer who asks to stop. Cancelling does not delete anything: the pass and its history stay, and you can reactivate it later if the customer comes back.

Common questions

Does the pass go into Apple Wallet or Google Wallet? No. Wallet passes are built around stamp cards of about ten stamps, which does not suit a 30- or 50-cup pass. Coffee passes live in the app instead, where the remaining count is always accurate. Can a customer use their pass at another shop? No. A pass belongs to the shop that issued it. What if the customer’s phone is flat? Both the customer’s QR and the pass QR need their phone. Nothing can be redeemed without it, which is what keeps someone else from spending their cups. Can I see how many cups are left across all my customers? Open the pass and look at the issued list — each entry shows the remaining count out of the total.
